Office Manager

  • Hours: Part Time.
  • Classification: Exempt
  • Summary of Position: Maintain and coordinate staff schedule, bookkeeping and financial administration, document management and electronic data maintenance, phones and written communication, facilities and office maintenance.
  • Responsibilities: These functions are not meant to be all inclusive and they may be adjusted as necessary.
    • Maintenance and coordination of Master Staff Schedule, including coordination of holidays, vacation, substitute teachers and sick time
    • Bookkeeping and financial administration, including payroll, a/p, tuition statements, financial statements
    • Document management and maintenance for both paper documents and electronic data: licensing and accreditation forms, enrollment, contracts, databases, etc.
    • Written communication, including information to families, newsletter contributions, website updates, and methods & procedures documentation.
    • Prompt preparation of reports and documents for regulatory compliance, Director, and Board of Directors.
    • Community and school core liaison: answer phones, e-mails, key participant in school security process.
    • Facilities and office maintenance, including responsibility for security system, office technology (phones, computers, copier, etc.)

  • Requirements:
    • Professionalism and strong interpersonal skills are highly valued. The office manager is a key member of the Alef-Bet team and this position includes contact with parents, children, teachers, substitute teachers, synagogue members and leadership, and facilities maintenance personnel.
    • CPR and First Aid Certification -- or must obtain them within first month of employment.
